Professional Standards, Responsibilities and Terms

This document sets out the professional, practical and contractual arrangements for training, workshops, facilitation and consultancy provided by Gallant Therapy.
Its purpose is to ensure that expectations are clear from the outset and that services are delivered professionally, ethically, safely and transparently.
These terms should be read alongside any written proposal, quotation or statement of work agreed for a specific commission.
1. About the Service
Gallant Therapy provides bespoke training and consultancy to organisations, including healthcare services, charities, businesses and other professional teams.
Services may include:
- training workshops (development, delivery, measurement and reflection)
- facilitated learning
- professional development
- reflective learning
- bereavement and loss education
- communication skills (basic, advanced and complex)
- psychologically informed practice
- debriefing and group dynamic work
- psychoeducation
- leadership and organisational development
- development of policies, procedures or professional resources
- consultancy
- facilitation & mediation
- bespoke organisational projects.
The exact scope, objectives and deliverables for each commission will be agreed before work begins.

3. Bespoke Design
Where training or consultancy is described as bespoke, Gallant Therapy will seek to understand the organisation’s:
- objectives
- intended audience
- professional context
- existing knowledge
- particular challenges
- desired outcomes
- accessibility requirements.
The commissioning organisation is responsible for providing accurate and relevant information needed to design the service appropriately.
Material changes to the brief after development has begun may require additional preparation time and fees.
4. Professional Standards
Gallant Therapy is committed to providing services that are:
- professionally competent
- evidence-informed
- respectful
- inclusive
- appropriately challenging
- psychologically informed
- sensitive to lived experience
- proportionate to the needs of the audience.
Where material falls outside my professional competence, this will be identified and, where appropriate, alternative expertise recommended/commissioned.
5. Training Is Not Psychotherapy
Some Gallant Therapy training explores emotionally sensitive subjects such as:
- bereavement
- death and dying
- trauma
- life challenges
- serious illness
- communication during distress
- psychological wellbeing
- difficult professional relationships
- difficult professional experiences.
Training may invite reflection, but a training session is not psychotherapy, counselling or individual psychological treatment.
Participants will not be required to disclose personal experiences in order to participate.
Where reflective exercises are used, participants should retain control over what they choose to share
Referral to psychotherapy or coaching will be available.
6. Psychological Safety
Gallant Therapy seeks to create learning environments in which people can participate with dignity and psychological safety.
This includes:
- explaining the nature of potentially sensitive material
- allowing appropriate choice around personal disclosure
- enabling inclusion for all
- avoiding unnecessary pressure to share lived experience
- treating different perspectives respectfully
- allowing participants to step away temporarily where appropriate
- signposting participants towards suitable organisational or professional support when necessary.
Psychological safety does not mean avoiding every challenging conversation. Effective learning may appropriately involve respectful challenge, uncertainty and reflection.
7. Participant Wellbeing
Training involving bereavement, trauma, serious illness or other sensitive subjects can sometimes evoke unexpected emotional responses.
Participants are encouraged to take responsibility for their wellbeing and to step away from an exercise or discussion if needed.
Where appropriate, the commissioning organisation should ensure that participants know how to access relevant internal support such as:
- their line manager
- occupational health
- employee assistance services
- wellbeing services
- safeguarding support.
Gallant Therapy cannot provide individual psychotherapy to participants as part of a training commission unless this has been separately and explicitly contracted.
8. Safeguarding and Serious Concerns
Training and consultancy are not confidential therapeutic environments.
Participants should therefore avoid sharing unnecessary identifiable information about patients, clients, service users, colleagues or other third parties.
If information disclosed during a session raises a serious safeguarding, safety or legal concern, Gallant Therapy may need to consider appropriate action.
Where possible and appropriate, this will be discussed with the person concerned and/or an appropriate organisational representative.
Information will only be shared where there is an appropriate reason for doing so and, wherever possible, will be limited to what is necessary and proportionate.
9. Confidentiality During Group Learning
Participants may discuss professional experiences, challenges and reflections during training.
All participants are encouraged to respect the privacy of others and not repeat personal disclosures outside the learning environment.
However, Gallant Therapy cannot guarantee that another participant will maintain confidentiality.
For this reason, participants should exercise judgement about what personal or organisational information they choose to disclose.
The commissioning organisation should also support appropriate expectations of respectful confidentiality.
10. Confidentiality in Consultancy
Consultancy may involve access to sensitive organisational information.
Gallant Therapy will treat information provided for consultancy purposes with appropriate confidentiality.
Confidential organisational information will not ordinarily be disclosed to third parties without permission unless:
- disclosure is required by law
- a serious safeguarding or safety issue arises
- another compelling legal or professional obligation requires disclosure.
Where a specific Non-Disclosure Agreement is required, this should be discussed before confidential information is exchanged.
11. Data Protection
Gallant Therapy processes personal information in accordance with applicable UK data protection legislation (GDPR).
For organisational commissions, personal information may include:
- commissioning contact details
- participant names where necessary
- attendance information, such as roles and responsibilities
- correspondence
- evaluation information
- invoices and payment records.
The commissioning organisation should avoid providing Gallant Therapy with unnecessary sensitive or special-category personal information.
Where personal information must be exchanged, both parties should consider their respective data protection responsibilities.

12. Case Studies and Examples
Training may include case studies, professional experiences or examples designed to support learning.
Where examples originate from professional practice, reasonable steps will be taken to protect confidentiality and avoid unnecessary identification.
Examples may be:
- anonymised
- sufficiently altered
- composite scenarios
- specifically created for teaching.
Participants should similarly avoid unnecessarily identifying individuals when discussing cases.
13. Lived Experience
Lived experience can make learning powerful, human and meaningful.
Where Gallant Therapy incorporates lived experience into training, it will be used purposefully rather than for unnecessary emotional impact.
Participants will never be expected to disclose their own lived experiences.
Personal stories shared by participants should be treated respectfully and should not subsequently be used as training material without appropriate permission.
14. Equality, Diversity and Inclusion
Gallant Therapy is committed to learning environments that respect difference.
Participants should be treated with dignity regardless of characteristics or background including:
- age
- disability
- gender or gender identity
- race or ethnicity
- religion or belief
- sexual orientation
- relationship or family status
- socioeconomic background
- culture
- language
- professional role or seniority.
Training may appropriately invite reflection on assumptions, bias, power, culture and difference.
Disagreement is natural and permitted.
Disrespect, harassment or discriminatory behaviour is not.
15. Accessibility and Reasonable Adjustments
The commissioning organisation is encouraged to identify accessibility requirements as early as possible.
Gallant Therapy will seek to make reasonable adjustments where practicable.
These may relate to:
- physical access
- visual presentation
- hearing
- sensory needs
- communication
- neurodivergence
- breaks
- participation methods
- digital access.
Responsibility for physical accessibility of an externally provided venue normally rests with the commissioning organisation or venue provider. Gallant Therapy will support this as appropriate.
16. Online Delivery
Where training or consultancy takes place online, participants are responsible for ensuring they have:
- an appropriate device
- adequate internet access
- access to the agreed platform
- an environment reasonably suitable for participation.
Gallant Therapy will take reasonable steps to prepare and test its own technology.
Occasional technical difficulties are an inherent risk of online delivery.
Where significant technical failure prevents delivery, appropriate alternative arrangements will be discussed with the commissioning organisation.
17. Recording
Training, consultancy meetings or presentations must not be audio-recorded, video-recorded, photographed, automatically transcribed or captured using AI tools without prior written agreement from Gallant Therapy.
Where recording is requested, agreement must normally address:
- the purpose of recording
- who will have access
- where it will be hosted
- how long it will remain available
- whether participants will appear in the recording
- data protection implications
- intellectual property
- any additional licence or fee.
Permission to attend training does not constitute permission to record it.
18. Artificial Intelligence
Gallant Therapy materials must not be uploaded into generative artificial intelligence systems for the purpose of reproducing, adapting, extracting or creating derivative training materials without prior permission.
Participants and commissioning organisations should also avoid using AI transcription, meeting assistants or automated recording tools during confidential or reflective discussions unless their use has been agreed.
Where AI-supported tools are intentionally incorporated into a commission, their purpose and relevant privacy considerations will be discussed beforehand.
19. Intellectual Property
Unless otherwise agreed in writing, intellectual property created by Gallant Therapy remains the property of Gallant Therapy.
This may include:
- presentation slides
- facilitator materials
- training manuals
- frameworks
- diagrams
- exercises
- worksheets
- handouts
- models
- templates
- written guidance
- bespoke learning resources.
Payment for training or consultancy does not automatically transfer ownership of intellectual property to the commissioning organisation.
20. Use of Training Materials
Participants may use materials supplied to them for their own learning and professional reference unless advised otherwise.
Materials must not ordinarily be:
- reproduced commercially
- sold
- published online
- substantially copied
- incorporated into another person’s training programme
- distributed organisation-wide
- adapted and presented as another person’s work
without prior permission.
Where an organisation wishes to licence materials for wider internal use, this can be discussed separately.
21. Organisation-Specific Materials
Where Gallant Therapy creates bespoke materials for an organisation, ownership and future use should be agreed as part of the commission.
Unless explicitly agreed otherwise, bespoke development does not automatically transfer copyright or unrestricted reuse rights to the commissioning organisation.
Where the organisation supplies its own material, policies, branding or intellectual property, ownership remains with that organisation.
22. Accuracy and Professional Information
Gallant Therapy will take reasonable care to ensure training and consultancy content is accurate and appropriate at the time it is delivered.
Professional guidance, legislation, evidence and organisational practice can change.
Training materials should therefore not automatically be relied upon indefinitely as current professional or legal guidance.
Where a commission involves specialist legal, medical, financial, HR or regulatory matters, organisations remain responsible for obtaining appropriate specialist advice where necessary.
23. Organisational Responsibility
The commissioning organisation remains responsible for its own:
- policies
- governance
- staffing
- employment decisions
- clinical decisions
- safeguarding arrangements
- regulatory compliance
- implementation of recommendations.
Gallant Therapy may provide professional observations, recommendations and learning but does not assume executive responsibility for organisational decisions unless explicitly contracted otherwise.
24. Consultancy Recommendations
Consultancy recommendations will be based on:
- information made available
- the agreed scope
- professional judgement
- evidence and guidance available at the time.
Recommendations are intended to support organisational decision-making.
The commissioning organisation remains responsible for deciding whether and how recommendations are implemented.
Where significant relevant information has not been provided, this may affect the conclusions or recommendations that can reasonably be made.
25. Evaluation and Feedback
Gallant Therapy may invite participants or commissioning organisations to provide feedback.
Feedback may be used to:
- evaluate effectiveness
- improve future delivery
- support quality assurance
- inform service development.
Anonymous feedback may occasionally be quoted for promotional or professional purposes.
Where feedback identifies an individual or organisation, permission will be sought before it is publicly attributed to them.
26. Fees
The agreed fee for the commission is:

Any additional work outside the agreed scope may be charged separately following discussion and agreement.
27. Travel and Expenses
Where in-person delivery requires travel, agreed expenses may include:
- travel
- accommodation
- parking
- reasonable subsistence
- other necessary costs.
Expenses will be:

Expenses requiring significant expenditure will normally be agreed before they are incurred.
28. Payment
Invoices will normally be payable within:
[14 ] days of invoice date.
Payment details will be provided on the invoice.
Where substantial bespoke development is required, Gallant Therapy may request:
- a deposit
- staged payments
- payment before delivery.
Any such arrangement will be identified in the quotation or proposal.
29. Cancellation by the Commissioning Organisation
If the commissioning organisation cancels or postpones an agreed commission, cancellation charges may apply because preparation time and delivery dates have been reserved.
Cancellation terms:
More than 28 days before delivery:
No cancellation fee, excluding non-refundable expenses and separately commissioned development already completed.
15–28 days before delivery:
50% of the agreed delivery fee.
14 days or fewer before delivery:
100% of the agreed delivery fee.
Any non-refundable travel, accommodation, venue or other costs already incurred will also remain payable.
Where possible, Gallant Therapy will seek to agree an alternative date rather than cancellation.
30. Cancellation by Gallant Therapy
If Gallant Therapy must cancel because of illness, emergency or circumstances outside reasonable control, the commissioning organisation will be informed as soon as practicable.
Where possible, an alternative date will be offered.
If rescheduling is not possible, fees paid for services that cannot be delivered will be refunded.
Gallant Therapy will not ordinarily be responsible for indirect costs incurred by the commissioning organisation as a consequence of cancellation, except where legally required.
31. Changes to Participant Numbers, Venue or Format
Significant changes to:
- participant numbers
- audience
- venue
- delivery format
- session length
- objectives
may materially affect the design or feasibility of the training.
The commissioning organisation should notify Gallant Therapy as early as possible and Gallant Therapy will aim to accommodate any changes where possible.
Where significant redesign or additional delivery is required, additional fees may be agreed.
32. Respectful Participation
Gallant Therapy seeks to provide a learning environment in which people can participate safely and respectfully.
Behaviour that is threatening, abusive, discriminatory or seriously disruptive may result in an individual being asked to leave a session.
In serious circumstances, training may be paused or ended.
Where possible, concerns will be discussed with the commissioning organisation.
33. Complaints and Concerns
If the commissioning organisation or a participant has concerns about a Gallant Therapy service, they are encouraged to raise them.

- respectfully
- fairly
- proportionately
- confidentially where appropriate.
Raising a legitimate concern will not result in someone being treated unfavourably.
34. Professional Boundaries
Training and consultancy may involve close professional discussion, reflection and challenge, but remain professional services.
Participants should not assume that participation creates a psychotherapy or coaching relationship with Gallant Therapy.
Where an individual subsequently wishes to enquire about another Gallant Therapy service, this is welcomed this will be considered separately and appropriate professional boundaries will be maintained.
35. Force Majeure
Neither party will ordinarily be considered in breach of this agreement where performance becomes impossible or substantially disrupted by circumstances reasonably outside their control.
This may include significant illness, emergency, severe travel disruption, natural events, major technological failure or other exceptional circumstances.
Both parties will seek reasonable alternative arrangements where practicable.
36. Agreement and Acceptance
Acceptance of a Gallant Therapy quotation, proposal or booking confirms acceptance of these Terms of Engagement unless alternative terms have been explicitly agreed in writing.
For larger or bespoke commissions, the parties may also sign below.
